Shipping & Fulfillment Policy

Effective Date: October 5, 2026

Phoenix Meds Inc. (“Phoenix Meds,” “we,” “us,” or “our”) provides business-to-business administrative and sourcing-coordination services to licensed healthcare organizations and medical professionals.

Phoenix Meds is not a pharmacy, manufacturer, drug compounder, wholesaler, distributor, dispensing facility, or shipping carrier. Phoenix Meds does not independently manufacture, compound, dispense, store, package, or ship medications.

Where an authorized sourcing request results in fulfillment, the appropriately licensed or authorized third party responsible for the transaction handles shipping and delivery.

1. Who Handles Fulfillment

Shipment is handled by the entity legally responsible for fulfilling the applicable transaction.

Depending on the circumstances, this may include a licensed pharmacy, outsourcing facility, wholesaler, distributor, logistics provider, or other appropriately authorized entity.

The fulfilling entity is responsible for activities within its legal and operational control, which may include:

  • packaging and labeling;
  • available shipping methods;
  • carrier arrangements;
  • temperature-controlled or special handling;
  • shipment documentation;
  • tracking information; and
  • compliance with applicable shipping requirements.

Phoenix Meds may assist with coordination and communication but does not become the pharmacy, supplier, shipper, or carrier by providing that assistance.

2. Delivery Locations

Products may be shipped only to destinations permitted by the fulfilling entity and applicable federal and state requirements.

Shipping eligibility may depend on:

  • the healthcare organization’s location;
  • the supplier’s licenses or authorizations;
  • the type of product;
  • the nature of the transaction;
  • applicable legal requirements; and
  • the supplier’s fulfillment policies.

Not every supplier, product, or fulfillment pathway is available in every state or jurisdiction.

Final fulfillment eligibility is determined by the entity legally responsible for the transaction.

3. Shipping Methods and Charges

Available shipping methods and charges are established by the entity responsible for fulfillment.

Shipping options and costs may vary based on factors such as:

  • destination;
  • carrier;
  • package size or weight;
  • delivery speed;
  • special handling; and
  • temperature-control requirements.

Phoenix Meds does not independently guarantee standard, expedited, overnight, weekend, or same-day shipping.

Phoenix Meds also does not independently establish or guarantee UPS, FedEx, or other carrier rates for shipments made by third parties.

Questions concerning shipping charges should generally be directed to the entity responsible for those charges.

4. Processing Times, Tracking, and Delays

Processing and shipment times are determined by the fulfilling entity.

Timing may be affected by:

  • clinic credential verification;
  • supplier review;
  • prescription documentation where applicable;
  • product availability;
  • regulatory requirements;
  • fulfillment schedules;
  • weekends or holidays;
  • weather; or
  • carrier availability.

Phoenix Meds does not guarantee same-day processing, a particular shipping cutoff time, or delivery within a specified number of business days unless such a commitment has been expressly made by the responsible supplier.

Where tracking information is available, it may be provided directly by the supplier or carrier.

Delivery dates and transit times should generally be treated as estimates unless the responsible entity expressly states otherwise.

5. Shipping Addresses

Healthcare organizations are responsible for providing accurate and complete shipping information.

Whether a product may be shipped to a requested destination is determined by the fulfilling entity based on applicable licenses, authorizations, policies, and legal requirements.

Providing an address during a sourcing request does not guarantee that shipment to that destination is permitted.

Address changes may not be possible once fulfillment has begun.

If an address needs to be corrected, contact Phoenix Meds promptly so we can assist with communicating the request to the responsible entity where appropriate.

6. Temperature-Sensitive and Special-Handling Shipments

Certain medications or regulated products may require temperature-controlled packaging or other special handling.

Those requirements are determined and managed by the entity responsible for preparing and shipping the product.

Healthcare organizations should promptly follow any storage, handling, inspection, or temperature-monitoring instructions provided by the supplier.

If a shipment arrives with apparent:

  • temperature concerns;
  • damaged or compromised packaging;
  • leakage;
  • missing items; or
  • other shipping-related problems,

the responsible supplier should be contacted before the affected product is used.

Phoenix Meds does not independently determine whether a medication affected by a shipping, storage, or temperature issue remains appropriate for use.

7. Lost, Damaged, Delayed, or Compromised Shipments

Claims involving lost, stolen, delayed, damaged, misdelivered, or otherwise compromised shipments are generally handled by the supplier, logistics provider, and/or carrier responsible for the shipment.

Depending on the circumstances, the responsible entity may determine whether a:

  • replacement;
  • reshipment;
  • refund;
  • credit;
  • carrier investigation; or
  • insurance claim

is appropriate.

Healthcare organizations should report shipping problems promptly and retain relevant packaging, photographs, tracking information, and other documentation that may be requested.

Phoenix Meds may assist with communication concerning the issue but does not independently control or guarantee the outcome of a third-party claim.

8. Product Condition After Delivery

Phoenix Meds does not independently inspect medications before or after delivery.

Questions concerning:

  • product integrity;
  • temperature excursions;
  • damaged containers;
  • storage conditions;
  • labeling;
  • product quality; or
  • suitability for use

should be directed to the supplying pharmacy or other appropriately licensed entity or professional responsible for the product.

9. Returns and Refunds

Returns, refunds, credits, replacements, and cancellations relating to products or shipping are subject to the Phoenix Meds Return & Refund Policy and any applicable policies of the independent supplier or carrier.

Phoenix Meds does not independently guarantee a refund or replacement for a product supplied or shipped by a third party.

10. Phoenix Meds’ Coordination Role

Phoenix Meds may assist licensed healthcare organizations with:

  • communicating sourcing requirements;
  • organizing credential information;
  • communicating with participating suppliers;
  • obtaining available fulfillment information;
  • following up on shipment questions; and
  • coordinating communication when an issue occurs.

Phoenix Meds does not independently perform pharmacy, dispensing, packaging, shipping, logistics, carrier, or delivery functions.

Independent suppliers and carriers may maintain their own fulfillment and shipping policies, which may apply to a particular transaction.

This policy should be read together with the Phoenix Meds Terms & Conditions, Return & Refund Policy, Privacy Policy, and any separate written agreement applicable to a healthcare organization or service.
